The challenge: an unmanned factory lobby
Pilkington is one of the world’s best-known glass manufacturers and part of the international NSG Group. Its Pilkington Automotive Finland business unit provides innovative automotive glass products and solutions used by leading vehicle manufacturers worldwide.
According to Head of Procurement Kai Stenvik, their automotive glass factories had a clear need to improve how visits were managed. Unmanned lobby areas had become a challenge, with no effective process for receiving guests. Pilkington wanted a solution that would bring clarity, control, and safety into daily operations. They chose Systam Visit for visitor management—a decision that has stood the test of time. The service has been in use at their Tampere and Laitila factories since 2011.
Automated reception brings safety and efficiency
Today, visitor reception is fully automated. When a guest is invited by email, they receive an automatic pre-arrival message with instructions. Upon arrival, visitors cannot access the factory area before signing in. At the Tampere factory, for example, visitors can only enter a separate lobby area, where they sign in via a self-service kiosk and print a visitor badge to wear. After sign-in, the host is automatically notified, making it easy to meet guests safely and preventing unauthorized movement within the premises. According to Stenvik, the solution has also significantly improved resource efficiency.
A safe and automated solution means we don’t need staff stationed in the lobby. Hosts can be anywhere in the factory until they get notified that their guest has arrived.
In a factory environment, visitors are also required to complete safety inductions. This is handled through Systam Pass. Guests review safety guidelines either in advance or during sign-in, and their acknowledgment is recorded. This creates a verified digital record of who has completed the safety briefing and when—improving safety and clarifying responsibilities.
